The Systems Champion serves as the architect and guardian of a company’s operational systems and processes. Job Summary¶
A Systems Champion’s primary objectives include, but are not limited to:
- Advocating for and ensuring every team member follows established systems.
- Developing, writing and editing practical business systems and instructions.
- Extracting and documenting knowledge from subject matter experts.
- Championing the use of systems across all departments.
- Training and supporting team members in system use and best practices.

Key Responsibilities¶
A. Business Operations & Strategy
- Collaborate with leadership to align systemisation efforts with business goals.
- Identify operational bottlenecks and inefficiencies.
- Prioritise and scope system development projects based on business needs.
B. Team Development & Team Enablement
- Create systems using a variety of source materials (videos, interviews, screenshots, etc.).
- Maintain and update systems as workflows evolve.
- Ensure all systems are accessible, usable and consistently formatted.
- Work across departments to ensure adequate documentation for all roles.
- Train new and existing staff in the company’s systems approach.
C. Communication & Implementation
- Provide clear, step-by-step documentation for complex tasks.
- Engage team members in the process of systems creation and improvement.
- Guide the use of digital tools that support systems management (e.g., process documentation software, task management tools, cloud drives).
- Facilitate training sessions and workshops to improve systems adoption and skills.
D. Systems Management
- Oversee continuous documentation and review of business processes.
