Your AI Implementation Partner
Become an AI‑leveraged business.
Fewer hires. Less overhead. Less stress. As your AI implementation partner, we map how your business actually runs, re‑engineer your most important systems with AI, then get your team using it.
It’s bespoke, so we only work with a handful of businesses at a time.

Sound familiar?
You can see the opportunity in AI. You’re just not sure where to start.
- You know AI could take hours out of the business. You’re just not sure which jobs to hand it first.
- You could figure it out yourself, but you’re already flat out running the business.
- You don’t have the right people in-house to build it, and hiring for it is a gamble.
- You’ve tried a few tools. Some were clever. None of them changed how the business runs.
- Your team is still doing it the old way, or each person is using AI their own way.
And if you do take it on yourself, every new idea lands back on your desk. AI was meant to buy back your time. Instead you become the bottleneck again, just a more productive one.
You don’t want another project to manage or six months of trial and error. You want it done properly, by a partner who’s done it before.
Why most AI projects stall
It’s rarely the tool. It’s what the tool is sitting on.
They automate chaos
If nobody can describe how a job gets done, AI can’t do it either. Automate an undocumented process and you bake in the inconsistencies, then it breaks the first time something unusual happens.
Nobody owns adoption
A clever build that the team doesn’t trust, doesn’t understand or simply forgets about is a cost, not a win. Plenty of AI projects get handed over, then quietly abandoned.
Your documented systems are what AI runs on. Get those right and the AI part gets faster, cheaper and far more reliable.
How AI implementation works
Start with a sprint. Then we build.
Most AI agencies start with the tool. We start with how your business actually runs, because that’s where the leverage is.
An example map. Yours will look different, and that’s the point.
It starts on one page
Your whole business, six departments, the systems that matter in each
Before anyone talks about tools, we map the handful of systems your business actually runs on, department by department. Most owners have never seen their business laid out like this.
Then we mark the ones where AI pays off first. Not the flashiest ideas: the ones with the most leverage for the least effort, sitting on a process that’s already clear.
A deep dive to get very clear on where AI will move the needle
We interview your team, map the business and finish with a ranked roadmap. No guesswork, no shiny objects.
Map the business
We map your Critical Client Flow: every step from first contact to happy, repeat client.
Spot the gaps
We find the systems that matter most, what’s missing and what only lives in someone’s head.
Document fast
We get your critical systems written down, quickly, so there’s something solid for AI to run on.
Find the quick wins
We rank the AI opportunities by impact and effort, and tell you which ones to skip.
Then we plot every opportunity
Impact against effort. Start in the top right.
Every AI idea from the sprint goes on one matrix: how much difference it makes to the business, against how much work it takes to build. The quick wins in the top right go first. Just as useful is what lands bottom left: the ideas we tell you to skip, before you spend a dollar on them.
An example. Yours is built from your own systems.
We build it with you, two ways to work together
Fixed-fee project
Re‑engineer your five most important systems with AI
A clearly scoped build from your roadmap, priced up front. Built, tested, documented, handed over and your team trained to run it.
Ongoing partner
Keep going: the next 20 and beyond
We stay on as your implementation partner, building out the next opportunities, refining what’s live and lifting adoption as the business changes.
Tool-agnostic
We work with the AI you already use, and the software you already run on. Not using anything yet? We’ll recommend what fits, with no vendor to push.
Not sure where AI fits in your business yet? That’s exactly what the first call is for.
Book a strategy callHow we decide what AI should do
One question for every critical process.
Does this step need human judgement or creativity? If it does, your people keep it and AI makes them faster. If it doesn’t, AI takes it, or we cut it altogether.
Your people keep
Judgement calls, relationships, creative work, the conversations that win and keep clients.
AI takes on
The repetitive, rules-based work: drafting, chasing, checking, sorting, reporting and moving data between tools.
Adoption is half the job
We don’t just build it. We get your team using it.
An AI-leveraged business isn’t one founder with a clever setup. It’s a whole team that works this way.
An owner on the inside
We help you appoint and train a Systems & AI Champion, so the work keeps moving without landing back on you.
Training that sticks
Every build comes with a documented system and a walkthrough, so your team knows what it does, when to trust it and when to step in.
An AI-first culture
We help your team bring forward the boring, repetitive work they’d love to hand off, so the next ideas come from them, not just you.
Want to start with the culture piece? See our AI workshops for leadership teams.
Why us
Process is what makes AI work. Process is what we know.
We document before we automate
Most agencies map your processes for the proposal, then throw the map away. We leave you with your critical systems documented, so every AI build has a solid foundation.
It keeps working after we leave
Every build has an owner inside your business and a documented system behind it. When people change roles, the AI doesn’t break.
A proven method, not one person’s opinion
SYSTEMology has been used by thousands of business owners through the books, the software and our certified SYSTEMologists. The AI work sits on top of that.
We tell you what to skip
Every roadmap includes what we deliberately left out and why. Saying no to the wrong AI project saves you more than any single build.
The method behind it
Documented systems are what AI runs on.
Long before AI, SYSTEMology was the step-by-step way business owners got their business out of their heads and into systems their team could follow. It’s been used by thousands of businesses, in the book, the software and our certified SYSTEMologists.
It turns out to be exactly what AI needs too. Once a process is clear enough for a new team member to follow, it’s clear enough for AI to take on. That’s why every engagement starts with your systems.
What it looks like when it lands
Systems first. Then one bot took a 1,000‑hour task down to 8.
Shannon Smit’s accounting firm, Smart Business Solutions, systemised with SYSTEMology first. Once the workflows were documented and agreed, they automated one repetitive admin task. It had been taking 1,000 hours a year. Now it takes 8.
Same team. The time went to better work, and the team started bringing their own repetitive tasks forward to automate next.

A good fit if you…
- Run an established business, roughly $1M to $15M in revenue with 10 to 50 staff
- Are serious about AI and ready to invest in doing it properly
- Have someone inside the business who can own it with us
- Want your team using AI, not just you
Not a fit if you…
- Want a chatbot by Friday
- Are looking for the cheapest build, not the right one
- Have nobody who can own it once it’s live
- Are a solo operator (start with systemHUB instead)
Questions
Common questions
We take AI from idea to working tool inside your business. We map how the business runs, find the opportunities worth doing, build them into the software you already use and get your team using them. You get a partner who’s done it before, without having to hire an AI team.
That’s normal, and it’s exactly what the sprint is for. We map the business and document the critical systems as part of the work, so you don’t need to have anything ready before we start.
It depends on the size of the business and how much we take on. Most sprints run somewhere between four weeks and three months. Some move straight into implementation inside the same engagement.
Every engagement is scoped to your business, so we don’t publish a price list. After a strategy call we’ll give you a fixed price for the sprint. Implementation is either a fixed-fee project or an ongoing monthly partnership, and you’ll know which before you commit.
Whatever fits the job. We work a lot with Claude, and with the automation tools already inside your stack. Where we can, we build inside the software you already use rather than adding more to the pile.
Data security is part of the scoping, not an afterthought. We use business-grade AI accounts, build inside your existing secure tools wherever possible and keep a human in the loop on anything that touches money or customers.
That’s the half most people skip and we don’t. Every build has an owner inside your business, a documented system behind it and a walkthrough for the people who use it. We’d rather build fewer things that get used than lots that don’t.
Yes. If your bigger challenge is getting the team on board, start with one of our AI workshops for leadership teams. Many businesses run a workshop first, then move into a sprint once everyone’s pulling in the same direction.
We document your systems in systemHUB during the sprint because it connects directly to AI, which makes everything that follows faster. It’s where your systems, training and business knowledge live, so your team and your AI work from the same source.
Ready to get serious about AI?
Book a strategy call. We’ll talk through where you are, what you’d change first and whether a sprint is the right next step. If it isn’t, we’ll tell you.
We only take on a handful of implementation clients at a time.
